Hitdesk Automation Limited (“Hitdesk”, “we”, “us”, or “our”) is a company registered in England and Wales under company number 15015834. We operate the Hitdesk platform and this website at https://www.hitdesk.co.uk.

2. What data we collect
We collect the following categories of personal data:
- Contact information — name, email address, phone number, job title, and company name when you submit an enquiry or book a demo.

- Communication records — emails, form submissions, and call notes relating to your enquiry or account.
- Platform data — if you are a Hitdesk customer, operational data you input into the platform is processed under a separate Data Processing Agreement.

We use your personal data for the following purposes:
- Responding to enquiries and providing product demonstrations — lawful basis: legitimate interests.
- Sending product updates or relevant communications where you have opted in — lawful basis: consent.
- Improving our website and platform through analytics — lawful basis: legitimate interests.
- Fulfilling our contractual obligations to customers — lawful basis: contract performance.
- Complying with legal obligations — lawful basis: legal obligation.
4. How long we keep your data
We retain enquiry and contact data for up to 3 years from your last interaction with us. Customer data is retained for the duration of your contract plus 7 years as required by financial record-keeping obligations. Analytics data is retained in accordance with Google Analytics default retention settings (26 months).
5. Who we share your data with
We do not sell your personal data. We may share data with trusted third parties in the following circumstances:
- Cloud infrastructure providers (Microsoft Azure, AWS) who process data on our behalf under data processing agreements.
- Analytics providers (Google Analytics) — anonymised, aggregated data only.
- Professional advisors (legal, accounting) where required.
- Law enforcement or regulators where we are legally required to disclose information.

Under UK GDPR, you have the right to:
